Managing Scanner Folders: Adding or Removing Users
Scan-to-folder destinations are shared folders on your network that receive scanned documents from your multifunction printer. Over time, you may need to add new users who need access to these folders or remove users who no longer need it. These changes require a helpdesk request.
When to Request a Change
- A new employee needs to receive scanned documents in an existing scan folder.
- An employee has moved to a different role and no longer needs access.
- An employee has left the organisation and their access should be removed.
- A new scan folder needs to be created for a new department or function.
How to Request a Change
Submit a ticket with:
- The name of the scan folder or the printer it is associated with
- The user(s) to add or remove
- Whether the user needs read-only access (view scanned files) or full access (view, move, and delete files)
What CMO IT Services Will Do
A technician will update the folder permissions on the file server or network share. If the scan folder is stored on SharePoint, we will update the SharePoint permissions. If a new folder needs to be created and configured on the printer, we will handle both the server side and the printer configuration.
Why Users Cannot Change This Themselves
Scan folder permissions are managed at the server or network level, not on individual computers. Changing permissions requires administrative access to ensure proper security and to avoid accidentally exposing documents to unintended recipients.
